Draft for RMDHost review – prepared 21 October 2026. This policy is pending final business and legal approval. Applicable data protection law remains authoritative.
1. Who we are
This policy explains how RMDHost collects and uses personal data when you visit our website, order services or contact us. The data controller, registered address and any representative must be confirmed before publication. Privacy questions: [email protected].
2. Data we collect
- Account and billing data – name, company, email, postal address, phone number, VAT number and payment records. Card details are processed by our payment providers and are not stored by RMDHost.
- Service data – server identifiers, IP addresses, configuration, usage metrics and logs needed to run, secure and support your services.
- Support data – the content of tickets, emails and messages you send us.
- Website data – pages visited, device and browser information and cookies, as described in our Cookie policy.
3. Content you host
Files, databases and other content stored on your server are under your control. We access them only to provide the service, when you ask us to, or when required by law. If you process personal data on our infrastructure you are responsible for that processing; a data processing agreement can be provided on request.
4. Why we use your data
- To create your account, provide services and handle billing (contract)
- To secure our network, prevent fraud and abuse and keep service logs (legitimate interests)
- To meet tax, accounting and legal obligations (legal obligation)
- To send service notices and, where you agree, product news (consent – opt out at any time)
5. Sharing
We share personal data only with providers that help us operate – data-centre operators, payment processors, email and support tools – under appropriate agreements, and with authorities where the law requires it. We do not sell personal data.
6. International transfers
Our infrastructure includes locations in the United Kingdom, the European Union, the United States, the United Arab Emirates and Singapore. Where data leaves the UK or EEA we use recognised safeguards such as standard contractual clauses or adequacy decisions. Locations and safeguards must be confirmed before publication.
7. Retention
Account and billing records are kept while your account is active and afterwards for the period required by tax and accounting law. Server data and backups are deleted after cancellation, subject to short technical retention periods. Logs are kept only as long as needed for security and troubleshooting.
8. Security
We use access controls, encryption in transit, monitoring and staff confidentiality obligations. Please also protect your account with a strong password and two-factor authentication.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your data, to object to or restrict processing and to withdraw consent. Contact us to exercise these rights. You can also complain to your data protection authority – in the UK, the Information Commissioner’s Office (ICO).
10. Changes
Updates will be published on this page, and significant changes notified to account holders by email.
